CLARIFY OBJECTIVES

We begin our customization process by ensuring your objectives and our capabilities match before accepting an assignment. Wayne is very careful to collaborate with the client to clarify objectives and verify that he will exceed expectations and provide a high ROI.

 

To avoid problems and to be sure needs are met for key individuals, we identify potential situations, obstacles and challenges that must be addressed. If there are any specific industry issues that need to be addressed or evaluated, any problems from past meetings that must be avoided, any individual support that is required—all these must be considered. Getting initial input from a few key people ensures the program will be on target.

 

To be sure the program hits the target, these specific steps are taken:

 

DEFINITION OF OBJECTIVE AND VALUE

Define the specific objectives or outcomes for attendees.

Define the benefits if these objectives are achieved.

Establish the value of the benefits.

Determine the return (financial and otherwise) of the benefits

 

BACKGROUND RESEARCH

Identify current industry issues and challenges.

Review industry publications for trends and late breaking news.

Review related trade magazines for information published on the program topic.

Identify any speakers who spoke to the group on this topic in the past and obtain an overview of the reaction.

 

PRE-PROGRAM INTERVIEWS

Determine the opinion leaders and most knowledgeable of the group on the subject, and ensure they are included.

Conduct telephone interviews with the opinion leaders

 

PRE-PROGRAM QUESTIONNAIRE

Use a pre-program questionnaire to recollect information and verify information the easiest way possible.

The meeting planner can complete the document and send prepared material, or just chat with Wayne to give him the information.

The audience demographics, such as age, education and diversity.

The audience’s degree of openness, level of communication and sense of humor.

The level and type of humor that received the best and worst results.

 

PRE-PROGRAM ONLINE SURVEY

We prepare a pre-program online survey based on the objectives agreed to at the time the program was booked and what has been learned in the interviews and questionnaire. It is forwarded to the client or meeting planner for approval and a link for distribution.

The online survey link can be distributed through your normal pre-meeting communication, or e-mailed. The normal return response for a large group is approximately 5-10%, but for a small or targeted group it is much higher. If it is a corporate meeting, the return is dramatically higher. This sampling reveals great insight into the attendees’ needs, develops creditability, and creates an instant connection.

 

The survey responses are tabulated and summarized. Then the results of the survey are sent to you. We will review them with the meeting planner or client during our final preparation to see if any revisions in objectives, style, or content need to be made.

 

Information from the survey is useful for more than just finalizing the program. For example, being able to report specific problems that attendees are having in generating job candidates, the most successful methods being used to get candidates, and even what is perceived as the most valuable employee benefits, will not only add value, but also create creditability for the program. It also provides significant value as insight on the attendees for the meeting planner and his or her management. The survey results can also help clarify the state of various industries and specific problems that are on the minds of the members of the industry.

 

If necessary, draft copies of any exercises, skill practices, and participant materials are forwarded for review and approval by the meeting planner. That way you can be assured that everything will reflect positively on you as the meeting planner.

ARTICLES

To create interest in the program and provide greater attendee value, three articles will be provided for publication in the client's magazine or newsletter.

 

One article is provided when the program is booked to announce the session.

A second article is provided for publication just prior to the meeting or in the materials given out at the meeting.

A third article is provided after the convention and incorporates meeting highlights and reminds the attendees of the meeting's value.

These articles, adapted from Wayne’s syndicated columns, are designed to be published at the key times to promote the program, inform about the program topic, and encourage the attendees to take action in registering.

 

PROGRAM EVALUATION

At the conclusion of the session, we ask participants to complete a program rating sheet designed to be much more useful than typical rating sheets. To motivate the participants to complete and turn in the rating sheet, Wayne provides a copy of his book, SMART STAFFING: How to Hire, Reward and Keep Top Employees for Your Growing Company, or an audio-album that the meeting planner can give away. The evaluation sheet asks questions such as:

What did you find most valuable?

What will you start doing differently or change as a result of the program?

How do you plan to use what you learned or discovered?

What is the benefit of what you learned and the changes you will make?

When you apply what you learned and discovered, what do you see as the return for the time you spent in terms of saved hours, increased results, improved sales, increased profits, etc, for the next year? In the future?

What do you wish there had been more time for?

What would you recommend for future programs?

The evaluation sheets are tabulated by our staff and a summary is returned, so the client can see the audience's reaction and, most importantly, gather ideas for improving the next meeting and future sessions. This information helps identify the perception of value of the program.

 

POST PROGRAM SUPPORT

We don’t think that the value of a meeting should end at the close of the meeting. To assist the attendees, many times we can post tools and other customized materials on a private page on Outlaw Group's web-site.
